Description
SUMMARY OF RESPONSIBILITIES
The Administrative Assistant answers telephones, makes appoints, digitally files documents, receives and transmits telephone and other messages, and presents a professional image of the firm to callers and visitors.
ESSENTIAL FUNCTIONS
1. Answer telephones professionally and efficiently, using a multi-line telephone system.
2. Receive and transmit telephone, fax, and email messages accurately and promptly, using the telephone, management software, fax/ copy machine, and personal computer.
3. Scans information, organizes digital files, and files them electronically.
4. Enters data into accounting and tax application software.
5. Collates and binds tax returns and other financial documents.
OTHER FUNCTIONS
6. Perform other duties as assigned from time to time by the Administrative Partner.
7. Works closely with other staff to help with work flow and client management.
JOB QUALIFICATIONS
1. Ability to perform several tasks concurrently with ease and professionalism.
2. Ability to operate a multi-line telephone system with 10 incoming lines.
3. Ability to scan and digitally organize electronic files.
4. Familiarity and experience with general office equipment and Microsoft.
